Terms & Conditions (for DME 2025 Registration) 

By registering and attending the fourth Deaf Muslim Expo (heretofore referred to as DME), to be held from August 30th to August 31st at Aloft Dallas Love Field in Dallas, TX, each participant acknowledges and agrees to the following terms and conditions as criteria for acceptance to attend the conference.

Release of Liability
All participants are solely responsible for any financial, physical, or legal liability they may incur before, during, or after their participation in DME. Participants agree to assume all costs, including, but not limited to, transportation, flights, and hotel stays. Global Deaf Muslim USA (GDM USA) and all other event organizers and sponsors are fully released from any financial, physical, or legal liabilities that participants may incur as a result of their participation in the Expo.

Registration & Early Bird Discounts
All individuals wishing to attend DME must complete registration by providing all required information and paying in full before entering the Expo venue. Registration can be completed via the DME website (www.deafmuslimexpo.com). If registering on behalf of others, the registrant is liable for the participants they register. There will be no on-site registration. Early Bird discounts will be available until May 31, 2025. After this date, general registration fees will apply. The last day to register for the conference is August 29, 2025, unless tickets sell out earlier.

Refund Policy
All refund requests must be submitted through Eventbrite at least 30 days before the event. Refunds will not be issued after this deadline.

Accessibility Needs
Participants should notify organizers of any special access requirements (e.g., wheelchair access, materials in Braille) at the time of registration.

Travel & Health Insurance Coverage
It is the responsibility of all participants to arrange appropriate insurance coverage (e.g., health insurance, travel insurance) as they deem necessary. GDM USA, its DME organizers, and sponsors will not assume responsibility for any lost, stolen, or damaged property. Additionally, GDM USA, its DME organizers, and sponsors do not assume responsibility for any medical expenses incurred by participants. Please ensure you have adequate insurance to cover health and travel expenses. Your insurance should also cover any inability to travel, as GDM USA will not be liable for travel expenses in such cases.

Event Decorum
All participants must follow instructions given by GDM USA staff and DME organizers. Attendees are expected to conduct themselves in a manner conducive to the event and in accordance with Islamic etiquette. Social interactions should be limited to designated times, and participants must provide their full attention during workshops and lectures. Participants are NOT authorized to act as representatives of DME when interacting with external entities (e.g., venue staff, government officials). Additionally, participants must comply with all hotel and venue policies, including room occupancy limits.

Property Use
Participants must respect the event’s facility reservation hours and program schedule. Use of venue halls or other rooms outside the reserved areas and hours is prohibited. Any damages to venue property caused by participants must be reimbursed to the hotel/venue on behalf of the organization.

Children & Attendance Policy
All participants must be at least 12 years of age to attend the event. Children under 12 are NOT permitted without accompanying parents or adults. Parents are responsible for arranging child care before the event begins. Violators of this policy will be asked to leave the session. Children may attend during designated meal and refreshment times or age-appropriate activities. GDM USA is NOT responsible for any incidents involving children during or after the event.

Distribution of Materials & Views Expressed
Participants may not sell or distribute flyers or other materials unless they receive explicit approval from DME organizers before distribution. Views expressed by speakers and exhibitors are their own. GDM USA is not liable for advice given or views expressed by any speaker or exhibitor at the conference or in materials provided to participants.

Code of Conduct & Anti-Bullying Policy
Participants must treat fellow attendees, staff, and venue personnel with respect. Bullying, harassment, or disruptive behavior will not be tolerated. Any participant found engaging in such conduct may be removed from the event without a refund.

Sickness & Health Precautions
By registering and attending DME, participants acknowledge and accept the potential risk of exposure to illnesses, including flu and other viruses. While Deaf Muslim Expo will take reasonable precautions to minimize risk, participation in any large gathering presents an inherent risk. Participants release DME/GDM USA, its employees, agents, and representatives from any liability related to illness exposure or infection.

Photography & Media Release
By attending DME, participants consent to being photographed and recorded for promotional and archival purposes. These materials may be used in future marketing and media without compensation. Participants who do not wish to appear in photographs or videos must notify event staff in writing before the event.

Force Majeure Clause
GDM USA is not responsible for delays, cancellations, or changes due to circumstances beyond its control, including but not limited to natural disasters, pandemics, strikes, or government regulations. If the event is canceled due to force majeure, participants may receive partial refunds or credit toward a future event at the discretion of GDM USA.

Intellectual Property & Speaker Content
All materials, presentations, and content provided at the conference remain the intellectual property of their respective owners. Participants may not reproduce, distribute, or use such materials without permission.

Privacy Policy
GDM USA respects the privacy of all participants. Personal data collected during registration will only be used for event administration and will not be shared with third parties without consent, except as required by law.

Emergency Procedures
In the event of an emergency, participants should follow all instructions given by event staff and venue personnel. Emergency exits and medical assistance locations will be identified at the start of the event.

Visas & Travel Documentation
Participants requiring an entry visa are responsible for obtaining one before the event. GDM USA organizers may provide a formal letter of invitation upon request, only after registration and full payment have been completed. Requests for visa invitation letters must be submitted no later than July 31, 2025.

Dispute Resolution
In the event of a dispute arising out of or in connection with these terms, participants agree to engage in good-faith mediation with DME organizers before pursuing arbitration or litigation.

Modification of Terms
GDM USA reserves the right to modify these Terms & Conditions at any time without prior notice. Updates will be posted on the event website. Participants are encouraged to review the terms regularly.
